Clinical Administrative Supervisor

Reporting to the Manager, Health Services, the Clinical Administrative Supervisor is responsible for coordination of clinical operations to ensure high-quality, client-centred, integrated and responsive health services and programs in alignment with Vibrant’s mission, vision, goals and values. The position manages a team of medical secretaries and relief staff to ensure effective client flow and clinical administration.

We are currently seeking a full-time Clinical Administrative Supervisor. This is a permanent position with HOOPP and benefits.

Position Overview

Reporting to the Manager, Health Services, the Clinical Administrative Supervisor is responsible for coordination of clinical operations to ensure high-quality, client-centred, integrated and responsive health services and programs in alignment with Vibrant’s mission, vision, goals and values.  The position manages a team of medical secretaries and relief staff to ensure effective client flow and clinical administration.

Key Responsibilities

Client Service Coordination

  • Provides leadership and direction for coordinated intake, scheduling and medical secretary functions

  • Monitors waitlists and wait times to support timely access of program and services to clients; makes recommendations to improve access and reduce wait times using a quality improvement lens

  • Coordinates client communication including changes to clinic and program schedules, health resources and bulletins using multiple communication methods

  • Provides support for systems coordination, navigation and access to community resources to improve access to healthcare, community supports and information for clients

  • Provides guidance, direction and support to staff and clients in the resolution of service delivery issues or concerns

  • Supports the Healthcare Manager to resolve scheduling issues required to address gaps in medical secretary staffing needs

  • Participates in the development, implementation, monitoring and evaluation of programs and services and key performance indicators to inform business and service improvement opportunities

  • Provides back up support in the absence of the Manager, Healthcare Services

Clinical Administration

  • Coordinates the inventory management of medical and clinical equipment and supplies, including establishing and maintaining standard procedures for purchasing, procurement and management of external suppliers/vendors

  • Instructs staff and monitors compliance on safe work procedures, occupational health and safety policies and requirements to ensure the safety of staff and clients

  • Supports maintenance of client record systems, including lab results, correspondence, referral files and client intake and registration

  • In collaboration with Manager, Healthcare Servies reviews and ensures that the primary care team is adhering to clinical documentation practices and provides feedback to address gaps

  • Supports client care including but not limited to footcare, checking of vitals, injections, phlebotomy, wound care, identifying appropriate nursing interventions and chronic disease management, as needed

  • Manages clinic space allocation and use and utilizes quality improvement approach to provide recommendations and implement strategies to improve use of space

  • Participates on organizational committees (e.g. Joint Health and Safety committee etc.)

People and Resource Management

  • Responsible for all aspects of people management for direct reports including recruitment, orientation, training, coaching, mentoring, conflict resolution, performance management and learning and development

  • Promotes a culture which respects equity, inclusion, diversity and anti-racism and encourages all employees to work together to achieve results and contribute to a healthy, rewarding and productive work environment

  • Monitors and manages all relevant budgets and resources to ensure financial accountability

Qualifications

You are committed to client-centered care, and passionate about working collaboratively in a community-based setting to address the social determinants of health, to reduce barriers and improve access to comprehensive health care for clients and the communities we serve.

  • Registered Nurse or Registered Practical Nurse in good standing with the CNO

  • Minimum 3 years of progressive experience in community health care service coordination or recent clinical experience in a healthcare setting

  • Knowledge of continuous quality improvement to support best clinical practices and outcomes

  • Knowledge of community resources and supports

  • Experience providing supervision and oversight of staff

  • Passionate about community health, and adept in navigating the complexities of care for barrier free populations.

  • A champion of health equity, armed with excellent interpersonal and communication skills, and a proven ability to work independently and collaboratively in a multi-disciplinary team environment in which the skills and responsibilities of each team member are recognized and respected.

  • Proficient in electronic health records and a commitment to leveraging technology to enhance care delivery.

  • Commitment to and knowledge of community health care.

Salary: $60,000 – $65,000 (based on experience, including benefits and HOOPP)
Hours:  35 hours weekly
Starting Date: ASAP
Status: Permanent Full-time, Non-Unionized
Work Location: On-Site, Yonge and Eglinton
